Objective: Given a founder's current 14-tool signup list, apply the lesson's Common Mistakes framework to identify overlapping tools, stale free-tier choices, and the missing CRM layer, then cut the list to 5-7 tools.

You're auditing the current software stack of a scrappy DTC custom-framing startup modeled on Framebridge's earliest days, who signed up for 14 different free trials over 18 months and has no idea which ones still matter.

Cut the list to 5-7 tools using the lesson's Common Mistakes stage, and catch the layer where no CRM exists at all.

Auditing a stack for tool overlap and stale free-tier choices

The lesson's Common Mistakes stage flags three failure patterns: stacking 12 tools when 5 would do, defaulting to Mailchimp out of habit as free tiers shift, and skipping the CRM layer entirely.

The founder's list has both Mailchimp AND Brevo signed up (never fully migrated), plus no CRM at all. Which two calls does the lesson's framework make immediately?

Google Sheets— List all 14 tools in column A, mark KEEP/CUT/ADD in column B.

Procedure

  1. List all 14 currently-signed-up tools
  2. Mark any tool duplicating another tool's job (Mailchimp + Brevo both signed up) as CUT the weaker one
  3. Check every KEPT tool's free tier against the lesson's 2025 data for a tighter replacement
  4. Confirm a CRM is present; if absent, ADD HubSpot CRM Free

What this means

Every tool is a login and a place data can leak; an audit's job is subtraction as much as addition, and the CRM gap is the most expensive miss because it's invisible until a client is lost.
