Build the Alert-Routing Map: A Channel Taxonomy for Awfis' Marketing Team

Awfis Space Solutions

Objective: Design and build a real channel taxonomy plus a trigger-condition-action table for a marketing team's tool-to-chat alert routing, the actual artifact a marketing ops lead would hand to their team before wiring up automations.

You're setting up marketing ops workflows at Awfis Space Solutions, India's largest coworking brand by centre count (BSE/NSE-listed, ~$351M IPO market cap). The team is expanding into new city tiers and wants campaign, lead, and sentiment signals routed correctly from day one, not retrofitted after people start muting channels.

Build a channel taxonomy (name, purpose, urgency tier) and a trigger-condition-action table mapping each marketing signal to its channel and mention rule, using the no-code pattern the lesson describes.

Before you start

What you'll need

Free path (everything below is enough to finish)

FreeDraft the channel taxonomy and the full trigger-condition-action table

Free, shareable, easiest way to review the map with a team before building anything

FreemiumPrototype one real trigger-condition-action rule as a working single-step Zap

Free tier supports single-step Zaps, enough to confirm the pattern works before scaling to Workflow Builder or Power Automate

The process

1 step

Step 01 of 01

Trigger-condition-action workflow design

No-code automation layers like Slack Workflow Builder and Power Automate all follow the same three-part pattern: a trigger (an event fires), a condition (does it meet a threshold), and an action (post, assign, or escalate).

Awfis is opening 6 new centres this quarter. Campaign alerts, lead-stage changes, and social mentions all need a home, what channel taxonomy and trigger-condition-action rules make that scale without becoming #general 2.0?

Zapier— Draft the taxonomy in Google Sheets first, then prototype the actual trigger-condition-action logic as a Zap (Trigger app -> Filter/Condition -> Action app) in Zapier's free-tier editor.

Procedure

  1. List every marketing signal source (CRM lead events, ad platform alerts, social listening, CMS publish events)
  2. Design 4 channels by urgency tier: #brand-crisis (immediate), #campaign-alerts (same-day), #campaign-digest (weekly), #pipeline-log (reference only, no mentions)
  3. For each signal, write a trigger-condition-action row: e.g. 'New lead (trigger) -> deal value > ₹2L (condition) -> post to #campaign-alerts with @mention (action)'
  4. Build one of these rows as a real single-step Zap in Zapier's free tier to confirm the pattern actually works end to end
  5. Document the taxonomy and rule table as the final deliverable
Sample output
Awfis alert-routing map (excerpt)

CHANNEL TAXONOMY
  #brand-crisis — immediate, @mention allowed, sentiment spikes only
  #campaign-alerts  — same-day, @mention for high-value leads only
  #campaign-digest — weekly rollup, no live posts
  #pipeline-log — reference only, never mentioned

TRIGGER -> CONDITION -> ACTION
  New enterprise lead -> deal value > ₹2L -> post #campaign-alerts, @mention AE
  New lead (any) -> deal value <= ₹2L -> post #pipeline-log, no mention
  Negative mention detected -> sentiment score < -0.5 -> post #brand-crisis, @on-call
  Weekly spend report -> always -> queue for Friday #campaign-digest batch

Healthy

Every signal has exactly one channel and one mention rule, decided before any tool gets wired up.

Unhealthy

Teams skip the taxonomy step and wire tools into #general one at a time as they get adopted, which is how the firehose problem starts.

What this means

The taxonomy is the actual deliverable, the automation tool (Zapier, Workflow Builder, Power Automate) is just the mechanism that enforces it. Building the map before touching a tool prevents the retrofit problem.

So what do I do about it?

SymptomActionEffort
No documented channel taxonomy exists before automations get builtDraft the 4-tier taxonomy and trigger-condition-action table first, wire tools second30 min
YouYou can do this yourself, no engineering access required.

Final deliverable

A 4-tier channel taxonomy plus a trigger-condition-action table covering every marketing signal source, with one row proven out as a working Zap.

Sample output
Chargebee marketing ops, routing map (excerpt)

#brand-crisis: sentiment score < -0.5, @on-call, immediate
#campaign-alerts: enterprise lead > $5K ACV, @mention AE, same-day
#campaign-digest: weekly spend + performance rollup, no mentions
#pipeline-log: all other lead events, reference only

Success criteria

You're done when you can:

  • Taxonomy covers at least 4 urgency tiers with a clear rule for each
  • Every listed signal source maps to exactly one channel and mention rule
  • At least one rule is proven out as a real working Zap, not just documented
